How To Update Outlet Mapping

Step 1

In this guide, we will show you how to update the outlet mappings in VAL whenever there is a new outlet opening or a change in outlet code (i.e. change in outlet concept).

Step 2

Checking for Missing Mappings

The first step is to check for any unmapped outlet in the statements uploaded into VAL using the "RR | Missing Mappings" dashboard:

The widget at the bottom shows the list of Statement Source and Outlet ID that are not yet mapped in VAL.

In this example, we see that the Outlet ID "ABC" is not mapped in the Oddle statements.

There are a few scenarios that we may encounter:

  • it's a new outlet: please follow steps 3-6 and then step 9 to add the new outlet mapping

  • it's an existing outlet but not captured in the platform mapping: please follow steps 5-6 and then step 9 to update the outlet mapping

  • there is a change in outlet code (i.e. change in store concept) but the platform MIDs remains the same: please follow steps 7-9

Step 3

New Outlet: Adding it to the Master List

For new outlets, the first step is to update the "Master List Outlets" table: custom_tbl_100_168

Click on the "+" button to add in a new outlet record.

Step 4

Input the following details of the new outlet

  • "ID": the new outlet code

  • "Outlet Name": name of the outlet, for reference

  • "Brand": the entity which the outlet belongs to

  • "Country": default to the value "SG"

  • "Open From": the date of the outlet opening, for reference

  • "Outlet Id": the new outlet code

Step 5

Adding New Outlet Mappings into Platform Mapping Table

To add in the missing mapping for that platform, navigate to the Outlet Mapping table of the respective platform.

In this example, we will be adding in the missing Oddle mapping in the "Outlet Map - Oddle" table:

Click on the "+" button to add a new record.

Step 6

This opens up the form where we input the following:

  • "ID": same as "Store Name"

  • "Store Name": the Outlet ID that is found in the platform statement

  • "Outlet": the outlet code that is recorded in the Master List Outlet table

Click "Save" once you're done.

Step 7

Updating Outlet Mappings

In the event that there is a change in the Outlet Code (i.e. change in store concept) but the Outlet ID in the Platform statement remains the same, you can update the existing outlet mapping record by double-clicking on it.

Step 8

This opens up the update form for the record, where you can input the new Outlet Code in the "Outlet" field.

Click "Save" once you're done.

Step 9

For POS and Platform Outlet Mapping, once you're done updating the Outlet Mapping table, you can either wait for the workflow run the next day or rerun the necessary workflows manually to check the results.

However, if you updated the Bank Outlet Mapping, you will need to re-upload the Bank Statements first before rerunning the workflows for the change to be in place
